2. Scope
This policy covers:
- Visitors to getknown.ai marketing pages
- People who contact us by email or form
- Prospects who access gated product demos
- Customers who subscribe to getknown plans
- End visitors who chat with a customer’s deployed assistant (on the customer’s site or hosted demo)
3. Information we collect
3.1 Information you give us
- Name, email, phone, business name, website URL
- Messages you send to us
- Account and billing identity details needed to provide the service
- Configuration you set for your assistant (greeting, notify email, etc.)
3.2 Information from your public website (service delivery)
To build an assistant we may process publicly available content from the website URL you provide or that is associated with a sales demo (services, hours, contact details published on that site).
3.3 End-user chat and leads
When someone uses an assistant, we may process conversation content and lead fields they submit (for example name, phone, email, service interest) to deliver the service to our customer and to operate, secure, and improve the platform.
3.4 Technical data
- IP address, browser type, basic device data
- Pages viewed, approximate timestamps
- Cookies or similar tech required for session/auth on product hosts (for example demo session cookies)
3.5 Payments
Card payments are processed by Paystack. We receive payment status, references, and subscription identifiers. We do not store full card numbers on getknown systems.
4. How we use information
- Provide, secure, and support the getknown service
- Create and operate demos and customer assistants
- Bill subscriptions and send service notices
- Respond to enquiries
- Meet legal obligations
- Improve reliability and prevent abuse (including fraud and spam)
We do not sell personal information.
5. Legal bases (POPIA framing)
Depending on the activity, we process personal information because:
- It is necessary to perform a contract or steps before a contract (for example providing a paid plan)
- You consented (for example marketing emails where consent is required)
- We have a legitimate interest that does not override your rights (for example securing the service, B2B sales outreach conducted under our internal approval controls)
- We must comply with law
6. Sharing
We may share information with:
- Paystack — payment processing
- Hosting and infrastructure providers (for example cloud edge/hosting used to run the site and app)
- Email delivery providers used to send transactional or approved outreach messages
- Our customer — when you chat with that customer’s assistant, lead details are provided to them as part of the service
- Professional advisers or authorities when required by law
Processors are used to help us run the service, not to buy your data.
7. Cross-border transfers
Some processors may store or process data outside South Africa. Where that happens, we take reasonable steps appropriate to the service relationship and applicable law.
8. Retention
We keep information only as long as needed for the purposes above, including legal, tax, and dispute needs. Chat and lead retention for a customer deployment may follow product settings and our operational limits; customers should not treat the assistant as their sole long-term archive.
9. Security
We use reasonable technical and organisational measures (including TLS in transit on our product hosts and access controls for operations). No method of transmission or storage is perfectly secure. See also our Security overview.
10. Your rights
Subject to South African law (including POPIA), you may request access to, correction of, or deletion of personal information we hold about you, or object to certain processing. Contact hello@getknown.ai. You may also lodge a complaint with the Information Regulator (South Africa).
11. Children
getknown is a business service. It is not directed at children.
12. Changes
We may update this policy. The effective date at the top will change when we do. Material changes will be highlighted on this page or by email where appropriate.
